5 signs your agency has outgrown spreadsheets
Almost every agency starts with a spreadsheet. It's free, it's familiar, and for a while it does the job. But as you take on more clients and more work, a spreadsheet quietly starts to hold you back. Here are five signs you've reached that point.
1. You can't find things quickly
You know you spoke to a client about a project, but where's the note? Was it in the sheet, an email, or a colleague's head? When simple questions take minutes to answer, your spreadsheet has become a place things get lost rather than found.
2. Nobody's sure which version is right
Someone made a copy. Someone else edited the original. Now there are three versions and no one knows which one is correct. The moment more than one person touches the same sheet, keeping it accurate becomes a job in itself.
3. Things slip through the cracks
A follow-up that never happened. A client who went quiet and nobody noticed. A spreadsheet won't remind you to act, so the only safety net is someone remembering. As you get busier, more starts to fall through.
4. Reporting takes half a day
When someone asks how the pipeline is looking, you shouldn't have to spend an afternoon sorting columns and adding things up by hand. If getting a simple answer means rebuilding the numbers each time, the sheet is costing you real hours.
5. It breaks as you grow
Spreadsheets are fine for a handful of clients. Add more people, more deals and more history, and they get slow, messy and fragile. The thing that helped you start is now the thing slowing you down.
What comes next
None of this means spreadsheets are bad. They're just not built to manage relationships as an agency grows. That's what a CRM is for, and it's exactly why we built Ifarlo.
Ifarlo keeps every client, contact and deal in one place, logs your meetings for you, and tells you who needs attention before anyone slips through the cracks. It sets itself up around how your agency works, so there's no big project to get started.
